Remuneration: R R490, 023. 35 CTC (plus a possible 20% performance bonus)

The Mining Qualifications Authority (MQA) is a Sector Education and Training Authority (SETA) operating under the Department of Higher Education and Training (DHET). It is mandated by the Skills Development Act (SDA) 97 of 1998 to drive skills development within the mining and minerals sector (MMS). Its scope covers a diverse range of sub-sectors, including Coal Mining, Gold Mining, Platinum Group Metals (PGM) Mining, Diamond Mining, Other Mining, Cement, Lime, Aggregates, and Sand (CLAS), as well as Services Incidental Mining (SITM), Diamond Processing, and Jewellery Manufacturing.

The MQA requires the services of a competent individual to fill the below-mentioned position.

ROLE PURPOSE:

To provide administrative support to the Executives in the execution of their delegated functions.

KEY PERFORMANCE AREAS:

  • Personal Assistant Duties: Manage Executives’ schedules/diary. Ensure correct protocol is applied in all interactions. Build relationships with internal and external. Confirm and/or co-ordinate requirements for specific meetings, interacting with internal departments and arranging venue requirements. Take minutes at meetings, obtain sign off and circulate to relevant parties. Screen and prioritise all internal and external requests, including telephone calls. Manage claims from team members and ensure correct authorisation from executives. Co-ordinate all travel arrangements for the stakeholder team and CRMEO. Ensure all travel is authorised and appropriate. Coordinate documentation required for travel and visa applications if applicable. Liaise with service providers if required. Organise events for MQA i.e. invitations, agenda, timing, meals, venue, registration of attendees and associated travel arrangements. Liaise with regional teams for events as required. Responsible for sourcing suitable venues and making suggestions as to appropriate venues.
  • Corporate Governance: Identify internal risks for the office and compile a risk plan for the risks identified. Implement internal controls and maintain sound administrative and governance services.
  • Develop and Maintain Stakeholder Relations: Identify and list all relevant customers and stakeholders (internal and external). Proactively identify customer needs and opportunities. Ensure sound communication with, and participation by, customers and stakeholders through regular contact in appropriate service delivery processes. Collaborate with other business units / teams to ensure a consistent approach with regards to query resolution and approach. Exceed customer expectations by giving all the relevant information, business advice and support to external and external customers and stakeholders deliverables in accordance with set timelines and allocated budgets. Develop and implement action plans to achieve allocated targets. Procure the required service providers to meet project objectives, including developing Terms of Reference and Specifications for the automated information management system for WSP-ATR submission. Formulate contractual service agreements with service providers. Monitor the implementation of service agreements in line with contractual provisions. Follow up on and facilitate project closure.
  • Reporting: Compile and submit the monthly reports of the Executive Management to the CEO.
  • Financial Management: Efficiently and effectively manage expense claims and petty cash for EMSR & CRMEO`s office. Maintain initiatives aimed at eliminating waste and reduce operating costs within the area of responsibility. Adherence to procurement policies and procedures
  • Produce Quality Output: Ensure all work processes are aligned to the required quality standards. Proactively identify continual improvement strategies. Action agreed quality initiatives ensuring that they are aligned to business unit/tasks/processes/systems. Implement corrective actions identified within specified time.

KEY REQUIREMENTS: QUALIFICATIONS, EXPERIENCE AND COMPETENCIES:

Qualifications:

  • Secretarial Diploma / Diploma in Office Management/ Administration, Business Administration or Equivalent (NQF Level 6)
  • Degree or an equivalent NQF Leve 7 qualification in the above-mentioned fields will be an added advantage.

Experience:

  • Minimum of 3 years’ relevant experience in the public or private sector in a similar role.
  • Demonstrate experience of MS Office (Word, Projects, Excel, PowerPoint, and Outlook).

  • Travel management. Business Writing. Meeting protocol, secretarial skills, in particular committee minute taking and processing.

The candidate should also be willing to: Work under pressure inclusive of longer than normal offices hours if required • Work with internal and external stakeholders • Travel away from home if required. Engage in a lifelong learning process relative to the context of the workplace. The successful candidate will be required to sign a performance agreement in terms of MQA Performance Management System.
